Wedding Cancellation and Deposit Policy

  1. Reservation and Initial Deposits

To secure your wedding date at Davochfin Farm, two separate non-refundable booking fees are required;

  • Venue Hire Deposit : £500
  • Marquee Hire Deposit : £500

These deposits are strictly non-refundable from the moment of payment, as they serve to secure the date and result in the turning away of other potential bookings.

  1. Cancellation Term

We understand that plans can change, however because marquee weddings require significant logistical scheduling and site preparation, the following cancellation terms apply:

  • Over 1 year (12 months) notice from scheduled wedding date a full deposit for venue and marquee will be refunded.
  • Less than 1 year (12 months) notice from scheduled wedding date will be non-refundable deposits for both venue and marquee.

  1. Notification of Cancellation

All cancellations must be submitted in writing via email to info@davochfinfarm.co.uk . The date of the email will serve as the official date of cancellation for calculating any applicable refunds or remaining balances.

  1. Change of Date

Requests to move a wedding date are treated as a cancellation of the original booking. At the discretion of Davochfin Farm management, deposits may be transferred to a new date subject to a £100 administration fee and current seasonal pricing.

Note: We strongly recommend that all couples take out comprehensive wedding insurance to cover unforeseen circumstances or forced cancellations.

  1. Force Majeure (Unforeseen Events)

Davochfin Farm and its marquee partners shall not be liable for any failure or delay in performing their obligations where such failure or delay results from any cause that is beyond their reasonable control.

Such causes include, but are not limited to:

  • Extreme Weather: High gale-forced winds (35mph) making marquee occupancy unsafe, flooding or heavy snow preventing site access.
  • Acts of God: Natural disasters or other catastrophic events.
  • Government Restrictions: Pandemics, lockdowns or changes in law affecting gatherings.
  • National Emergencies: Strikes, riots or failure of public utilities (power/water).

Procedures in a Force Majeure Event:

  • Safety First: The venue management and marquee lead have the final authority to determine if weather conditions (specifically wind speeds 35mph upwards) pose a safety risk to guests. If deemed unsafe, the event may be paused or the marquee evacuated.
  • Mitigation: In the event of such an occurrence, we will make every reasonable effort to offer an alternative date within 12 months.
  • Financials: While we will attempt to transfer deposits to a new date, please note that any costs already incurred (e.g. marquee, transport, site prep or staff labour already performed) may be deducted from any potential credit.

Important Note on Weather: As Davochfin Farm is a rural, coastal site, the couple acknowledges that Highland weather is unpredictable. No refunds will be issued for “bad weather” (rain, mist or cold) that does not pose a direct safety threat to the structure or guests.

  1. Site Safety and Guest Liability

Davochfin Farm is a working rural environment and recreational site. While we take every precaution to ensure a safe event, the hirer (the couple) acknowledges and agrees to the following:

  • Assumption of RISK: Guests must remain within the designated wedding and marquee areas. The farm contains natural hazards including deep-water lochans, uneven terrain and agricultural equipment. By entering the property guests assume responsibility for their own safety.
  • Supervision of minors: Children must be under the constant supervision of a responsible adult. Due to the proximity of the open water (fishing lochans), children are not permitted to wander the grounds unattended at any time.
  • Restricted Areas: Access to the farm house, farm sheds and livestock areas is strictly prohibited. Any guest found in these areas may be asked to leave.
  • Footwear and Attire: Given the rural nature of the site, we strongly advise the hirer to inform guests that appropriate footwear (suitable for grass and uneven ground) should be worn. Davochfin Farm is not liable for slips, trips, or falls resulting from inappropriate attire or off-path wandering.
  • Conduct and Damage: The hirer is responsible for the conduct of all guests. Any damage to the marquee, farm property, or lochan banks caused by guest negligence or misconduct will be invoiced to the hirer following the event.
  • Alcohol and Water Safety: For safety reasons, guests are strictly prohibited from swimming or entering the lochans. Any guest deemed excessively intoxicated near the water may be removed from the site by farm staff for their own protection.

  1. Waste Management and Site Clean-up

The hirer is solely responsible for the collection, removal, and legal disposal of all waste generated by the event.

  • Off-site Disposal: All rubbish- including catering waste, bar bottles/cans and general décor – must be removed from Davochfin Farm by the hirer of their contractors. It is not the responsibility of the farm to provide bins or disposal services.
  • Site Condition: The venue and marquee area must be left in a clean and tidy state. Any specialist cleaning required to remove litter, food wate, or debris from the farm grounds or lochan edges will result in a cleaning surcharge of £250.
  • Caterer Responsibility: We recommend the hirer ensures their catering team is contracted to take their own waste with them on departure.

  1. Noise Level Restrictions

The hirer acknowledges that Davochfin Farm is situated in a noise- sensitive area. To maintain our license and respect our local community, the following decibel limits apply:

  • Maximum Interior Level: Amplified music must not exceed 95dB (measured at the sound desk).
  • Directional Control: All speakers must be oriented inward, away from the marquee openings and neighbouring properties.
  • Bass Management: The venue manager reserves the right to request a reduction in low-frequency (bass) output if it causes structural vibration or off-site disturbance.

  1. The 11pm “Hard Stop”

In accordance with local noise ordinances, a strict “No music” policy is enforced from 11pm.

  • 10:45pm: Volume must be gradually reduced for a “wind-down” period.
  • 11pm: All amplified sound, including live bands and DJ’s must cease entirely.
  • 11:30pm: All guests not staying on-site must have departed the marquee area to ensure a quiet “break-down” of the event.

  1. Breach of Policy and On-Site Cancellation

Failure to adhere to the noise limits or the 11pm curfew constitutes a material breach of contract.

  • Initial Warning: The Farm Manager will issue one formal warning to the hirer or their designated representative (e.g. the DJ, or Best Mann).
  • Immediate Termination: If the warning is ignored or the noise limit is breached a second time, Davochfin Farm reserves the right to immediately disconnect the power supply and terminate the event without notice.
  • Forfeiture of Fees: In the event of such a termination, no refunds will be issued for any portion of the venue hire fee. Furthermore, the hirer will be issued with an invoice to cover any local authority fines or administrative costs associated with the breach.
